Instructions

Instructions that cite the right clause

Issue a variation, a discrepancy, a provisional sum expenditure or any other instruction, and Avoice carries the clause reference, the cost and time effect, and the change back into the specification and the record.

Every instruction type.

Variations, discrepancies, provisional sums, opening up, non-compliant work, named specialists, postponement, samples and dayworks, in one composer.

Priced and tracked.

Each instruction carries its cost and time effect, so the running total of change is visible rather than reconstructed at the end.

Into the record on issue.

Numbered, dated and filed automatically, with the affected clauses and drawings linked both ways.

Every kind of instruction, one composer

Not just variations. Most instruction tools handle changes and leave everything else to a letter. The ones that cause arguments later are the other kinds: opening up for inspection, work not in accordance with the contract, expenditure of a provisional sum. Avoice composes all of them with the wording and the clause each one requires.

  • Instruction type chosen first, which sets the clause and the required content
  • Wording drafted from the project documents, then edited by the architect
  • Issued as a numbered PDF to the contractor and anyone copied in

Change control that actually holds

The instruction and the specification stop disagreeing. A substitution approved on site and never written back into the spec is how a tender-issue document stops describing the building. When an instruction changes a specified product, Avoice updates the clause, the schedule and the product register together and issues the section as a new revision.

  • Approved substitutions flow into the clause, schedules and product register
  • Each affected section keeps its version history
  • Changes arriving by email are captured and offered as draft instructions

Nothing issued from memory

The clause is checked, not recalled. Instruction numbering, clause references and the people copied in are the small things that undermine an otherwise good decision. Avoice takes them from the uploaded contract and the project's own distribution list.

  • Clause references checked against the contract that was actually signed
  • Sequential numbering with no gaps, dated on issue
  • Filed to the project record, visible to anyone with access
